CTI

Dear Swyx Users

The ability to make a phone call by a click of a button on a PC enables you to work more effectively. But what if you do not want to let go of your a traditional looking telephone on your desk?

With SwyxWare CTI all incoming and outgoing phone calls can be handled by the SwyxIt! soft phone as well as with the Desk Phones. Allowing you to switch between these communications tools at any time so that you are always using the phone that suits you best.

Here a short demonstration on how powerful and simple to use the Swyx CTI solution is:

I hope you enjoyed my screen cast. As you could see, Swyx CTI is an intuitive solution and results in satisfied users and customers alike. Every call can be controlled on the device of choice increasing the operators productivity.

Note: Since SwyxWare is an software based IP PBX solution, there is no additional CTI server needed to enable this functionality. It is simply a software option on the core SwyxServer.

Cheers
Mirjam

Swyx Distributor New Zealand & Australia

Call-Queue

Dear Swyx Users

SwyxWare is an excellent tool for great customer service. Did you know that with Swyx you can build also call queues ?

Call queues are perfect for organizations with heavy call traffic or also for Sales and Customer Support departments, never miss a call again. With SwyxWare’s graphical script editor, one can setup various queue with different call distribution scenarios. I have created a short screen-cast on how such a visualized queuing option can look like.

The above sample is an integrated web-extension solution powered by 3iMedia. This Queue seamlessly integrate with your existing SwyxWare IP PBX. The Call-Queue queues incoming calls and serves them to agents as they become available.

How does the queue work: One has the option to greet the caller with a welcome announcement and play the callers position in the queue. Also advertising messages can be played while callers are waiting on hold for the next available agent. Further escalations scenarios can be build based on the amount of callers in the queue, or also depending on how long the callers are queuing for.

Some highlights of this queuing solutions are:
- Agents can login and logout of queue on the Swyxit! or via Phone
- Assign caller to agents in multiple ways; next available, random, longest waiting . . .
- selective pickup of calls from the queue
- Supervisors can intrude any calls with one mouse click from their SwyxIt!
- upload and change advertising, music or messages for callers to hear while on hold

I hope you enjoy my short demo : -)

Cheers
Mirjam

Swyx Distributor New Zealand & Australia

call voicemail directly

Dear Swyx Users

Did you know that with Swyx you can call your colleague’s voicemail box directly ?

With SwyxIt! 7.0, this option is now right on your fingertip. Simply right-click on your co-worker’s speed dial and select “Call Voicemail”. You will be connected straight to the voicemail box, no matter what call routing rules are activated.

If you are using an older version of SwyxWare, no worries, you can also connect directly to someone’s voicemail via feature code “ extension*71* ”. As an example, if I want to call Felix’s voicemail box from my desk phone, I just dial 302*71*

Happy Swyxing and have a good weekend . . . . .

If you have any questions, please do not hesitate to contact me.

Cheers
Mirjam

Swyx Distributor New Zealand & Australia

CTI for MS CRM

Dear Swyx Users

Swyx’s “Click2Dial” from any application is a well appreciated feature, all of you are familiar with. Highlight the number and press “F11” on your keyboard. But computer telephony integration (CTI) goes far beyond just doing phone calls from your desktop.

CTI is all about bridging the gap between the phone system and the business application.

Let’s look at a very popular CRM solution today, MS CRM Dynamics.

“CTI for MS-CRM integration software” is a flexible and user-friendly interface between Swyx and CRM Microsoft Dynamics application. MS CRM integration software enables you to provide superior customer service by connecting your phone system with the MS CRM application. Actions can be defined such as create new case, create new call note or simply open the account page depending on the number called, or line used to initiate the call.

What happens with an incoming call?

The application automatically displays record's information (prospect, account & contact) of the caller, and allows automatic creation of a new activity associated to a number if it is still missing in MS-CRM.
It is even possible to pop- up information on customized entities.

How to do an outbound call?

You can click the Dial button in your MS CRM application or you can use the F11 function of Swyx. This gives you the possibility to directly reach the correspondent through the MS-CRM interface, or through the CTI for MS-CRM Integration search function.

CTI for MS-CRM Integration allows you to create your custom actions. So, it is possible to add buttons and entries in context menus that allow you, for example, to localize a map on Google Maps or to call via Skype.

An introduction video on how to install and configure the CTI for MS CRM application can be found here :

Note, there is also a TAPI version available of this solution, allowing similar functionality with other phone systems.

Happy Swyxing and have a good weekend . . . . .

Cheers
Mirjam

Swyx Distributor New Zealand & Australia

These Conference calls are not limited to own employees, one can invite partners and customers to join whenever appropriate.

But did you know that one can also invite muted participants in to a conference call ?

Muted participants are participants who can listen to the conference call but not speak (ListenOnly).

How to configure:

In SwyxWare Administration you set up a conference room with the internal number '600'.

With the help of the Graphical Script Editor you create a script that accepts calls to the number 600 and requests entry of a PIN. Depending on the entered pin, the call is branched: Callers who enter the sequence 1234 are forwarded directly into the conference (block 'Deliver'; to number '600'); callers who enter the sequence 6789 are also forwarded into the conference, but as listeners only.

This functionality is implemented through an addition to the number of the conference room, the character sequence '#OWC'. Please note that the complete string of digits (<number of conference room>#OWC) must be dialed as a block number.

Happy Swyxing and have a good weekend . . . . .

Cheers
Mirjam

Swyx Distributor New Zealand & Australia

So you can receive internal phone calls from your colleagues.

In fact, the iPhone just becomes a mobile extension. One can put a caller on hold or also initiate a call-transfer.

How to configure SwyxWare:

How to configure iPhone:

In SwyxWare Administration go to User/Properties configure SIP login and credentials in SIP tab.

Download iSIP Application from AppStore and configure SIP Account accordingly.

But it gets even better.
trunk recording

Dear Swyx Users

Did you know that Swyx Ware can recording all your incoming and outgoing calls?

When Option Pack SwyxMonitor is installed, all trunk calls can be permanently recorded. The destination where the files are recorded is set in the SwyxWare Administration.

Here one can enter a path to the directory in which the recordings should be stored. A dummy [trunkname] can be used for relating the recordings to the different trunks.

Example:

\\fileserver\recordings\[trunkname]

The default setting uses the path:

%APPDATA%\Swyx\Recording\[trunkname]

All recordings are then saved locally among the application data of the user account under which SwyxServer is running.

The files are saved following: Out#301#Smith, Peter#093775051#20081016#155844.wav

This means that an outgoing call from the number "301" to Peter Smith with the number "093775051" was recorded on February 17, 2009 at 15:58:44. All recordings are now saved in these directories.

Additionally, one can add a registry key to SwyxServer which then will included the CallID in the recording file name. Add a new value of type "String" with the name "CallRecordingFilenameFormat" to

HKEY_LOCAL_MACHINE\SOFTWARE\Swyx\IpPbxSrv\CurrentVersion\Options

Set the Value to:
[calldirection]#[internaladdress]#[internaladdresscanonical]#[remotename]#[remoteaddress]#[date]#[time]#[callid]

The files are then saved following: Out#301#Smith,Peter#093775051#20081016#155844#0000027033.wav

Have a good weekend and happy Swyxing :- )

Cheers
Mirjam

Swyx Distributor New Zealand & Australia

Dear Swyx Users

Swyx has released its BETA version of V 7.0. If all goes according to plan, the new version will be released in December. What is new?

SwyxFax and SwyxIt! are now integrated in to the same application. One can send a FAX message with a click of a button from the SwyxIt! soft phone.

The Call Journal is in a new fresh design and offers now a better overview of received, missed calls, incoming and outgoing calls. And also the recorded message are now displayed within the same view but on a different tab.

The SwyxIt! soft phone client, can now be installed on Windows 7, aswell as on a Windows Terminal Server 2008. The SwyxServer can be installed on Windows XP, SBS Srv 2003, WinSrv2003 or WinSrv2008.

Swyx Ware 7.0 offers a better integration into Lotus Domino Server. SwyxIt! can access calendar information and contacts and inbound and outbound calls are resolved against the Notes database. For simple configuration there is now a Wizard guided installation tool available.

Status signaling is now supported among multiple Swyx Servers and therefore allows to publish one global address book. With this concept Swyx is expanding its customer segment to even larger multi-site corporations.

That’s it for now, more later . . . . . . have a good weekend

Happy Swyxing :- )

Cheers
Mirjam

Swyx Distributor New Zealand & Australia

The music on hold shipped with SwyxWare was composed and supplied by corporate-music.com and is royalty free.

"Music on hold" is set in the SwyxWare Administration, under Properties/Music on Hold. Here one can switch to any another music on hold files by selecting the entry from the drop down menu. You can play the displayed file and record a new announcement here. The newly selected music on hold file will immediately be used for new calls on hold.

· The slider is used to adjust the volume of the music on hold

· Further one can search the network for other files in any WAV format using "Browse". After you have chosen a WAV file, it will be converted into the format below and then saved in the database *

If you would like to run your own adverts or promotions as holding music, you can produce your own wave file and load this one. When creating these files, make sure that they are composed in the following audio format: "8 kHz 8 bit CCITT u-Law, 64kbit/s"

Note: * The Window functions used for conversion in this procedure may lead to a deterioration in the quality of the music on hold under some circumstances. In this case you should use a professional conversion program instead of the Windows conversion in order to create WAV files in the above mentioned format.

If you want to use another music than the provided music on hold, please consider the legally embodied rights for musicians, composers and check with your local authorities.

Have a good weekend and happy Swyxing :- )

Cheers
Mirjam

@ IT Net World, Swyx Distributor New Zealand & Australia

hot desking

Dear Swyx Users

Sharing of workstations, phones, desks & seat by more than one staff is called hot desking and it gets more and more popular.

This type of arrangement enables employers to make better use of available resources. It is very common along call centres but also well suited to companies who have staff who are frequently out of the office, for example sales people who are mostly on the road, so that space within the office does not have to be allocated for them permanently.

How does Swyx support hot desking? SwyxWare enables staff to hot-desk, meaning allows users to log-in & log-out at phones.

Once logged-off, the Phone will display:

User ?
PIN:_.

The next user will enter his PIN and all the Phone Settings like Speed Dial, Line key etc. will be applied to the Phone

Login-On & Login-Off of SwyxPhones gets even easier as you can assign a Hotkey “Log off user” to the phone.

This setting can be select in SwyxWare Administration /User properties /Button/SwyxPhone or directly via the SwyxIt! menu Settings/USerProfile/Swyxphone

Improve reachability: No matter where you’re sitting within your company, once logged-in on a Swyx Phone, your colleagues can reach you on your normal extension.

Happy swyxing and have a good weekend ;- )

Cheers
Mirjam

Swyx Distributor New Zealand & Australia

project codes

Dear Swyx Users

Did you know that SwyxWare allows you to assign different project codes to each individual call? This data can then be evaluated later via the Swyx Call Detail Records.

To associate a call to a project, you must enter the assigned project code before making the call.

This is how you assign a call to a project

1. Enter `*' and then the project code, sample below 4588.

2. End the entry of the project code with `#'.

3. Then dial the destination number as usual, sample below 0800435427.
The project code will now be recorded in the Call Detail Record (CDR)

This is how you assign a call to a project when dialing from Outlook

1. Open the Outlook "Contacts" folder.

2. Select the contact and click on the SwyxIt! symbol.

The following window appears: "SwyxIt! Phone Dialer".

3. Enter a project code or select a project code from the drop-down list.

4. Then click on "Dial" behind the number you would like to use.

5. The number entered, preceded by the project code, will be dialed.
The project code will now be recorded in the Call Detail Record (CDR)

This is how you assign a project code to Speed Dial

You can also, for example, assign a project code to a Speed Dial.

Enter *4412# at the Number / URI filed. And deactivate the option "Dial Immediately" and activate "Clear display before calling".

If you now like to assign a conversation to a project, press the Speed Dial with the project code first and then enter the number or select a second speed dial. Attention, the second speed dial cannot have “Clear Display before dialing” activated.

Happy Swyxing . . . . . and have a good weekend.

Cheers
Mirjam

@ IT Net World Ltd, New Zealand & Australia SWYX Distributor

In SwyxWare Administration one has an overview of all modification that happen on the system. Let’s assume I am in a call on Line 1 with Tom . . .

. . . . . now Tom and I have a question for Mary.

While I’m getting connected to Mary, Tom hears music on hold . Once connected I can simply click the “Conference” button on my SwyxIt! soft phone client and all three parties are connected together.

Once the lines are merged, the Line key changes to Conference.

Furthermore, one can add now even new subscribers to this existing ad-hoc conference call.
Although only the person which is the conference controller can add more participants to this conference, one can add as many users as there are lines available into an ad-hoc conference call.

Note: 3 way conferencing is supported with SwyxWare Essential, for multiparty conferencing Swyx Optionpack Conference or Professional is needed.

Happy Swyxing . . . . . and have a good weekend :- )

Cheers
Mirjam

Swyx Distributor New Zealand & Australia

Dear Swyx Users

SwyxWare records all conversations as wav files to your local hard-drive. Accessing these files is just two mouse click away :- )

All recorded conversations are shown in the recorded conversations list. This list contains all recorded calls as well as additional information such as date and time of the call, the phone numbers involved, the extension used and it also signals whether it was an outgoing call (green arrow) or an incoming call (red arrow).

One can mark the desired conversation, click play or even send the conversation as an e-mail attachment. You can call the conversation partner again > “dial”, assign a special ringing sound to his phone number > “ringing” or add the number to your Personal Phonebook > “To Phonebook”.

SwyxWare native playback function does not offer a lot of options. One can stop and play, but features such as rewind the last x seconds are missing.
But if you playback the conversation recording with a media player, one can scroll through the sound file, or repeat an explicit section of the recording file easly.

If this is desired, one can directly open the directory where the wav files are saved to via a shortcut on the SwyxIt! soft phone.

Configure a shortcut button to open the specific folder. Default the client recordings are saved to: “C:\Documents and Settings\[USER]\Application Data\Swyx\Recording

You have now an explorer which lists all recordings. If such a conversation recording is opened with a media player one as all comfort function like volume adjustment, rewind or fast forward.

A very popular and open source player is “VLC media player”.

Note: To record all client conversations SwyxWare Optionpack Record or Professional is needed.

Happy Swyxing . . . . . and have a good weekend.

Regards
Mirjam

@ IT Net World Ltd, New Zealand & Australia SWYX Distributor

time based routing

Dear Swyx Users

To route calls based on days of the week or time of the day is very straight forward with SwyxWare. As en example, with the graphical script editor one can add the block “Check Time” and continue with the script depending on the result.

The sample script above works like this:

The script checks time and routes the call based on “Mo-Fri 8:30 am – 5:30 pm”

If the call is outside business hours, the caller will hear a message and can leave a voicemail

If the call is during business hours . . . .

a. . . . the caller can enter the extension of the party if wants to reach.
(In the sample the extension starts with 3 followed by two additional numbers)

b. . . . . or, the caller can press
5 for sales,
6 for support
or just wait and the caller will be forwarded to reception

If the desired party is not picking up, the caller will be forward to voicemail.

The sample script can be downloaded from here.
free calling with SIP URI

Dear Swyx Users

Saving call costs with SwyxWare' s flexible least cost routing is one other big advantage.

Swyx offers you all the flexibility to choose the Telco provider of your choice that suites your business needs best. And not only that, with Swyx you can have multiple trunk-lines of different carriers at the same time. With Swyx' smart least cost routing, one can save even more $.

But it get's even better. You can actually call for free any SIP URI number. There are more and more businesses using IP-PBX's. This allows to perform free Peer2Peer calls without any carrier involved.

So, what exactly is an SIP URI ?

A SIP URI is a SIP addressing scheme, working similar like mailto URL, to call other people via the Internet. This makes it possible to reach a target via dialling a SIP-URI “http://www.swyx-forum.comsip:mirjam@itnetworld.co.nz” directly within SwyxIt! at ZERO cost!

In the SwyxWare administration one can add a SIP URI as a public number for a User.
Instructions on the necessary firewall / port-forwarding configuration to allow SIP traffic can be found here.

As you see, it pays out for business owners to utilize the full potential of Swyx Unified Communication technology and reduce costs via smart call routing.

Happy Swyxing . . . . . and have a good weekend.

Cheers
Mirjam

Swyx Distributor New Zealand & Australia
